4 Quick Tips for Spring Cleaning Your CRM with SugarCRM

Just as your attic or bedroom may get a little cluttered with items you meant to deal with weeks ago, your CRM could use the occasional spring cleaning as well!

Here are a few things you can do to spruce up your CRM platform, whether you are working in SugarCRM, Creatio, or monday.com. Plan to tidy up your CRM database roughly once a quarter, making sure that you aren’t paying for licenses you don’t need, missing pipeline opportunities, or sending emails to people who never open them. Save money and make sure your time is well spent by cleaning up your account!

1. Review the list of active CRM users

Are all these users still at your organization? Do you need to update their titles or access levels? Have you hired new team members who need access to your CRM platform? This is the perfect time to de-activate anyone who has left, and transfer their accounts to another sales rep who can pick up the relationship.

2. Review your Account data

Do you have duplicate records that can be merged? If you need separate “Sold To” and “Ship To” accounts with the same name, do you have another way to clearly identify these different record types for your team members? Take some time to pull reports identifying potential duplicates, and get ready to merge those accounts! 

3. Review your Opportunity and Pipeline data

Set up a Dashboard or scheduled report to keep tabs on those Opportunities where the Expected Close Date was last month but the status is still Open. Why haven’t they closed yet?

The effort to keep up with Opportunity status and dates will pay dividends on the reporting end, when sales execs can see at a glance that the pipeline is up-to-date and accurate. This upfront effort can help your sales meetings run much more smoothly. Sales reps will be motivated to keep their Opportunities up-to-date when they know the Sales Dashboard will be on display.

4. Work with your reps to clean up Dashboards and Reports

Remove any Dashboards or Reports that are no longer needed.
